PayrollOS subscription terms

PayrollOS access, subscription, trial and cancellation terms.

These terms cover HULO’s hosted PayrollOS service, its free workspace and optional subscriptions. Use of the open-source application is governed separately by its software licence. Bespoke software-development and consulting engagements remain governed by their separately agreed contracts.

HULO develops PayrollOS, also described as HULO HR, for employers and professional advisers. The application is licensed under AGPL-3.0-or-later and may be self-hosted without a HULO software subscription, subject to that licence. Self-hosting can involve infrastructure and third-party service costs. Hosted subscriptions do not replace or restrict rights granted by the open-source licence.

Service availability

Use only the services enabled for your organisation. Live HMRC submissions, pension sending and payments are not currently enabled in the available hosted workspace. An on-screen calculation or document does not establish that a return has been filed or a payment made. Example records and documents are not evidence of actual employment, pay or an accepted return.

The practice workspace includes team and client administration, tasks, queries and reviews without a paid subscription. Hosted payroll actions, additional capacity and integrations depend on the selected organisation plan. Employee, banking, health and identity-document information must not be uploaded until payroll processing is authorised for the organisation and the applicable data-processing agreement is in place. Supplied example records may be reset or removed; they are not a records-retention service.

Accounts and acceptable use

You must have authority to act for each organisation you access. Keep your account secure, use the required authentication controls and tell us promptly if you suspect unauthorised access. Accountants must have authority from each client and use only the access assigned to them.

Do not access another organisation’s information without permission, upload malicious content, disrupt the service, bypass access controls or use the service unlawfully. We may restrict access where reasonably needed to investigate abuse, protect the service or comply with law. Contact support if you believe a restriction is mistaken.

Use the secure product workflow for any connection the service makes available. Do not send HMRC credentials, payment details or provider secrets through contact forms or support email. A connection may require a separate agreement with, or authorisation through, the relevant provider.

Optional hosted subscriptions

Paid PayrollOS subscriptions are intended for business customers. Before accepting a paid order, we will show the selected plan, included features, price in GBP, billing interval, trial end, first payment date and applicable tax. The plan and pricing accepted in the order determine the purchased service. The selected plan does not automatically enable a provider connection or replace a required authorisation.

Prices are exclusive of VAT. VAT will be added only where legally applicable and the total payable will be shown before purchase. This statement does not imply a VAT registration number has been issued.

The free trial for a paid plan is seven days. Its exact end and any proposed first charge must be shown before the trial starts. You can end the trial at any time before it expires without a subscription charge; the 14-day notice rule applies to paid subscriptions, not to ending the free trial. Using the free workspace does not automatically start a paid subscription. Paid enrolment is not currently open. Trial sign-up must explain whether payment details are required and whether a selected paid subscription starts when the trial expires.

Paid subscriptions require 14 days’ cancellation notice. Send notice to [email protected] from an authorised account contact, identifying the organisation and subscription. An enabled in-product cancellation facility may also be used. Notice runs from receipt; we will acknowledge it and confirm the effective end date and any final amount due. Please do not include payment-card details in the request.

The accepted paid order must state how the notice period interacts with the billing interval, any final charge, credits and refunds. Those financial rules must be available before a customer pays; this notice does not impose an unpublished refund rule or a further fixed contract term. Billing queries or refund requests can be sent to support with the relevant invoice reference.

Paid service access will be delivered electronically through the authorised account once the order and applicable activation conditions are met. Software subscriptions do not involve delivery of physical goods. live payroll access remains subject to the explicitly supported capabilities and the employer’s configuration and authorisation.

Payroll responsibilities and third-party services

Employers remain responsible for employment decisions, the accuracy of source information, payroll approvals and statutory duties. Accountants remain responsible for obtaining their client’s authority. The service must be used within its stated capabilities, and errors or unsupported situations must be resolved before a real submission or payment.

HMRC, Companies House, banks and payment providers operate their own services and authorisation processes. A successful sign-in or connection does not itself establish that a return was filed, a payment settled or an organisation is compliant. Use the relevant confirmation or receipt for the completed operation.

Information, rights and disputes

Our privacy notice and PayrollOS privacy notice explain business contact and account information. Any future processing of customer employee data will require the applicable data-processing agreement before real payroll data is admitted. Customer information is not transferred into HULO’s ownership by being provided to the service. Software licences and any agreed project contract govern rights in software and deliverables.

Report service or billing concerns to [email protected], identifying the relevant organisation and a safe description of the issue. Nothing here excludes liability or rights that cannot lawfully be excluded. Any liability allocation or service-level commitment for a paid engagement will be stated in its accepted contract, rather than inferred from this website.

These PayrollOS terms are governed by the law of England and Wales, subject to any mandatory rights that apply. We will publish a dated revision when these terms change. A new website version does not by itself retrospectively change an already accepted paid order or any separate bespoke-services agreement.
